BlackBerry Setup with NotifySync (Email, Calendar, Contacts, Tasks)

ActiveSync is a Microsoft technology which allows for syncing your online workspace with handheld devices such as BlackBerry. Using simple steps below you can set up your BlackBerry to sync your Contacts, Calendar, and Tasks with your online workspace as well as and receive email from your BlackBerry. Since BlackBerry devices do not support ActiveSync natively, you need to install NotifySync software to enable over-the-air syncing.

Note: Your Administrator must first enable ActiveSync on your account.

Important: If this is your first sync, we recommend that you back up your data. If you do not do this and lose your data, there is no way to retrieve it.


There are three basic steps: Get the license, install the sync software, and register.


1. Obtain a license for NotifySync.

Besides usual user information like name and email address, you will also need the following five pieces of information to get the license. The license will be emailed to you.

    • Mail Server Type: MS Exchange 2007
    • Domain: The seven-digit Account ID of your workspace account. You can find this next to Settings on the top left side of the application once logged in. You must enter this field even though it is not required.
    • ActiveSync Server Address: active.syncfx.com
    • Email Domain: syncfx.com
    • Promotional Code: N/A



2. Install NotifySync on the BlackBerry.


Important: If you have other BlackBerry Internet Service accounts such as Gmail, AOL, or Yahoo or BlackBerry Enterprise Server accounts with calendar syncing, you must delete the CICAL service books for each of these accounts from the device before you install and enable NotifySync on your BlackBerry.

We highly recommend that you reboot your BlackBerry after installation and prior to registering and turning on your NotifySync account.

3. Register your NotifySync client and start syncing.


Find the NotifySync icon on your BlackBerry device and select Register from the menu.

  • NotifySync Registration - Step 1:
    - Email: your online workspace email account
    - Do not check the box Use Email as Username
    - Username: your online workspace login User ID
    - Password: your online workspace login password
    - Domain: your online workspace account's seven-digit Account ID found next to Settings once logged in to your account
    - Network Setting: Auto Detect
    - Click Next
  • NotifySync Registration - Step 2
    - License Key: the NotifySync license key that was emailed to you (case sensitive)
    - Server Address: active.syncfx.com
    - Make sure that the box Use HTTPS is checked
    - Network Setting: Auto Detect
    - Click Next
  • NotifySync Registration - Final Step
    - Check the email box if you plan to use your workspace email on your BlackBerry. For Memos, select Do Not Sync because this is currently not supported.
    - For Calendar, Contacts, and Tasks (if you're syncing them), you have the choice between (a) Replace Device Items and (b) Merge Items. Use the following guide to decide which option you should choose:
    - If all of your Calendar, Contacts, and Tasks are in your online account, you should select Replace Device Items.
    - If all of your Calendar, Contacts, and Tasks are in your BlackBerry and your online workspace account is empty, you should select Merge Items. The items on your device will be added to your online workspace account.
    - If you select Replace Device Items, you will be asked: Synchronizing PIM items requires that all items of that type currently on the device to be removed. Continue? You must say Yes to continue.
    - If you select Merge Items, the sync will begin.

Please be very patient during the first sync. You should allocate between one and two minutes for every ten items you are syncing. Syncing 100 will take up to 20 minutes the very first time. Do not interrupt your sync. You will receive a notification from NotifySync to your BlackBerry when the sync is done.


Tips on Setting Preferences

You have the ability to set a number of NotifySync preferences. Choose the Preferencesmenu from within the NotifySync application. The most important settings you will select are:
  • Push Settings. This is the basically your sync schedule. The recommended setting is Scheduled Push with an interval of 5 minutes or greater. You can also choose Start and Stop times for syncing. The more you sync, the more you use up battery power.
  • Email Settings. This is where you specify various email options like Plain Text versus HTML. To send and receive email through your NotifySync client, the email address you enter during setup must be tied to your online account. Otherwise, email you send will be silently dropped by the mail server and not delivered. You cannot use any external POP accounts that may be tied to your online workspace account.
  • Sync Settings. This is where you specify what items (like Calendar) you want to sync and which folders (like Personal Calendar) you want to sync. Folders are mapped here as well.
  • Folder Settings: This where you specify which of your online workspace account email folders you wish to sync. By default only the Inbox is synced.
