Configuring POP Account in Outlook 2010

You can use Microsoft Outlook 2010 to send and receive emails tied to your domain and mapped to your online account. There are two ways of doing this - POP and IMAP. We recommend that you set up an IMAP account instead of POP since IMAP keeps folders and emails in your Outlook 2010 client properly synced with your folders and emails on the server. By contrast, POP is a simple one-way pull of emails and can often lead to confusion if you use more than one client or Smartphone.  If you plan to use POP, please be sure that you aware of the following:

  • Only emails from your Inbox will be pulled into your Outlook. If you have a message rule that puts incoming messages in other folders, they will not be pulled into your Outlook client.
  • Emails in your SPAM folder will not be pulled into your Outlook. You must log in to your email account online to access and review emails that might have been tagged as SPAM.
  • Use the Leave on Server option if you plan to use a Smartphone or more than one email client or device to access email if you wish to access your emails on the Web or through a Smartphone device. If you do not, 

Before you set up your POP account, we suggest that you review our basic guidelines on IMAP versus POP. To set up POP on your Outlook 2010, please follow the steps below.

 

1. Open your Outlook, go to Tools and select Account Settings from the drop-down menu.

2. In the Account Settings pop-up, select the E-mail tab and click "New". In the Auto Account Setup window that follows, select "Manually configure server settings or additional server types" and click Next.

3. In the Choose Service window that follows, select Internet E-mail and click Next.

4. In the Internet E-mail Settings window that comes next, enter the following information:

  • Your Name: This is generally your name (e.g., John Smith) that will show up as the Display Name.
  • E-mail Address: This is the full email address that you are setting up (e.g., jsmith@organization.com)
  • Account Type: Select POP3 from the drop down
  • Incoming mail server: Enter mail.odmailbox.com
  • Outgoing mail server: Enter mail.odmailbox.com
  • User Name: This is the full email address that you are setting up (e.g., jsmith@organization.com).
    Note: Please use only lower case characters.
  • Password: This is the password that you use to login to your online account (this is case sensitive field)
  • Do NOT select checkbox Require logon using Secure Password Authentication (SPA)
  • Deliver new messages to: Choose the Outlook File (new or existing) into which POP emails are pulled.
  • Click button More Settings...

Important: Do not click Next until you've entered values for More Settings.

 

6. In the Internet E-mail Settings, More Settings pop-up, enter the following information in the tabs:

  • Tab General: Enter a name for your account to identify your email account. Leave other fields blank.

  • Tab Outgoing Server: Check My outgoing server (SMTP) requires authentication and select Use same settings as my incoming mail server

  • Tab Connection: Leave unchanged


  • Tab Advanced:

  • Incoming Server (POP3): 110. Leave unchecked the box that says This server requires an encrypted connection (SSL).
  • Outgoing server (SMTP): 587. Since most ISPs today block Port 25 (the default value), you should replace it with Port 587. Use this port number in conjunction if you select "None" in the Use the following type of encrypted connection drop-down.
  • Server Timeouts: We recommend a value that is at least 5 minutes because email sizes are getting larger.
  • Delivery: We recommend that you check the box that says Leave a copy of messages on the server. If you do not check this box, emails on the server will be permanently deleted once pulled into your Outlook. We further recommend that you do not check the other two options regarding leaving messages on the server unchecked.

          Contact your technical support team if you need port settings for SSL or TLS encrypted connections.

  • Click OK

 

7. Back in the Internet E-mail Settings page:

  • Click Next
  • You are done with setting up your POP account.
